Administrator Training FAQ
Answers to common questions about Mountain Wind’s retreat center administrator training, including cost, duration, format, and what you will learn.
What is a retreat center administrator?
A retreat center administrator is the first contact for a retreat center. Administrators are experts at organization, communication, and preparing guests for their experience. They answer email and social media questions quickly, create forms, screen potential guests, update advertising, answer questions from arriving guests, and document the center’s processes.
What is the difference between a retreat administrator and a facilitator?
Administrators are the first contact for a center: they answer inquiries, create forms, screen potential guests, and keep digital assets current. Facilitators support the maestro, the staff, and the guests during a stay, guiding guests through the center’s processes and filling practical gaps. Both roles improve the guest experience. Typically Administrators work almost entirely online and remotely, on occasion an Administrator may be asked to visit a center, whereas facilitators work entirely at the centers during retreats.
What do retreat centers look for in an administrator?
Potential guests want a quick response, so centers look for someone who can answer email and social media questions at a moment’s notice. Centers also want administrators who can update advertising across multiple platforms, post social media updates, create forms and questionnaires, screen guests, and document the center’s processes.
What will I learn in Mountain Wind's administrator training?
The course has five sections: Introduction, Form Creation and Documentation, Screening Potential Guests, Maintenance of Digital Assets, and Finding Administration Work. Together they cover center operations, guest forms, screening, websites and social media, and finding your first position at a reputable center.
How long does the administrator course take?
Each section takes approximately 5 hours, plus additional time to answer questions. The full five-section course totals about 25 hours. The course is self-paced, so you move as fast or as slowly as you schedule calls with your teacher.
How much does the administrator training cost?
Tuition is $50 per section or $200 for all five sections. Mountain Wind keeps the cost low and compensates its administrator trainers only for their time, because the course exists to improve safety and guest experience and to share our skills with others.
Can I take just one section of the course?
Yes. You can take a single section for $50 or all five sections for $200. That lets you start with the skills you need most, such as guest screening or digital asset upkeep, and add more sections later.
Do I need experience to become a retreat center administrator?
No previous experience is required. If you already work in retreat center administration, the course is a good way to update your skills.
Is the administrator course online or in person?
All coursework is currently done by one-on-one voice call, so no travel is required. A digital version of the course is in development. You need only a computer or a phone with a stable internet connection.
Will I learn how to create guest screening and release forms?
Yes. Section 2 teaches you to create a standard screening form that evaluates guest readiness and a standard release form that protects the center from liability. You also learn how to organize and store forms, document policies and procedures, evaluate existing documentation for flaws, and handle guest information ethically.
How does the course teach guest screening?
Section 3 covers why guests often fill out screening forms incorrectly, the basics such as when and why a guest wants to attend, how to evaluate medications for potential contraindications, which medical conditions might interfere, and how to assess whether a guest has been fully forthcoming after screening.
Will I learn to manage a retreat center's website and social media?
Yes. Section 4 teaches basic website editing for minor updates, such as adding a new retreat to an existing page. It also covers social media strategy for multiple platforms, foundational marketing including which aggregators to use and what they cost, responding to negative reviews and malicious bots, and how often to post and update.
Will I receive a certification when I finish?
You will receive a certification when you complete the full course. This certification is issued by Mountain Wind, at which point we will create an entry for you in our administrator database so trusted partners can evaluate you for work. Internationally accredited certifications are issued by other institutions and have their own processes. If you receive one, we will update your database entry to reflect your new skills.
Will this course help me find administration work?
Section 5 covers red flags and green flags when seeking a job, what you should earn, which responsibilities to decline, and the risks of unpaid internships. Students also receive job recommendations to trusted partners. Recommendations support your search but do not guarantee employment.
How does enrollment work?
Enrollment begins with a free one-on-one consultation about your experience level, expectations, and goals. After the consultation, Mountain Wind arranges full payment before classes begin, and an invoice is available immediately after payment is received.
What is included with the administrator training?
Enrollment includes full access to instructors, a link to purchase suggested materials, a syllabus, handouts and worksheets, a certification login to manage your resume, a web badge to offer centers that hire you, and job recommendations to trusted partners.
